Software platform role

PatrolFlow provides organization workspaces, scheduling, timecard records, checkpoint verification, reporting, document generation, notifications and audit logs. It does not independently verify every user submission.

Customer organization responsibility

The customer organization is independently responsible for its personnel, hiring or contracting decisions, schedules, assignments, supervision, compensation, payroll, taxes, employment standards, security licensing, insurance, workplace safety, site instructions, client obligations and compliance. PatrolFlow is operations software operated by . The platform records, stores, organizes and transmits information entered by authorized users. Platform records do not independently create an employment, agency, payroll or security-services relationship between PatrolFlow or and a customer organization's personnel. The customer must provide accurate legal, operations and payroll contacts and must use the platform lawfully.

Guard and worker relationship

Each Guard Portal identifies the customer organization that created the account and controls the assignment. Compensation, payroll, employment-status and workplace concerns must be directed to that organization. A PatrolFlow timecard is an operational record and is not, by itself, a pay statement or promise of payment.

Privacy and operational evidence

Workspaces may collect timestamps, GPS coordinates, accuracy data, live photographs, reports, device information, IP addresses and timecard events. Customer organizations must identify lawful purposes, provide required notices and permissions, limit access and retention, and handle access or correction requests. PatrolFlow must also safeguard personal information under its control.

Legal review required

These built-in notices are operational safeguards and starter wording. They do not create a separate legal entity or guarantee that cannot be named in a claim. Obtain legal review of the customer agreement, privacy policy, data-processing terms, insurance and business-name registration before public launch.
